Refund and Cancellation Policy

Effective 6 September 2026

1.0 Purpose and Scope#

1.1 This policy explains when BrookBytes gives a refund, how a subscription is cancelled, and what happens to your data afterwards.

1.2 It applies to all paid subscriptions to the BrookBytes platform.

1.3 It forms part of the Master Service Agreement and is referred to at clause 6.6 of that agreement.

2.0 The short version#

QuestionAnswer
Can I cancel at any time?Yes. From your billing page, with no notice period and no cancellation fee.
Do I keep access after cancelling?Yes — until the end of the period you have already paid for.
Are fees refundable?Generally no, because they are charged in advance for a period. See sections 5 and 6 for the exceptions.
Will you charge me again after I cancel? No. Cancellation stops all future charges.
Will you delete my data immediately? No. You have 30 days to export it. See section 8.

3.0 Billing basis#

3.1 Subscriptions are billed in advance for each billing period.

3.2 All prices are exclusive of GST, which is added at the prevailing rate and shown separately on the tax invoice.

3.3 A subscription renews automatically at the end of each period until it is cancelled.

4.0 Cancellation#

4.1 You may cancel at any time from the billing page in your dashboard, or by writing to us.

4.2 Cancellation takes effect at the end of the period you have already paid for. You keep full access until then.

4.3 No further charge is made after cancellation. If a charge is taken after a valid cancellation, we will refund it in full.

4.4 There is no cancellation fee and no notice period.

4.5 After the paid period ends, your account may move to our free tier, where one is offered, subject to that tier's limits.

5.0 When we do not refund#

5.1 We do not refund:

(a) fees for a billing period that has already begun, save under section 6; (b) the unused remainder of a period after you cancel; (c) fees where a Plan is downgraded part-way through a period; (d) fees where your access was suspended or terminated for breach of the Acceptable Use Policy or for non-payment; (e) charges arising from your own configuration, or from a third-party messaging platform suspending your account.

5.2 Service credits for missed service levels are governed by section 9 of the Service Level Agreement. Service credits are applied against future fees and are not paid in cash.

6.0 When we do refund#

6.1 First invoice — 7 days. If you are dissatisfied with the service, you may request a full refund of your first invoice within seven (7) days of that first payment. No reason is required.

6.2 Duplicate or incorrect charge. Refunded in full, promptly, on discovery — whether you report it or we do.

6.3 Charge after valid cancellation. Refunded in full.

6.4 Extended failure. Where the service is unavailable for a continuous period exceeding seventy-two (72) hours through no fault of yours and no excluded cause, you may request a pro-rata refund for the affected period instead of a service credit.

6.5 Discretion. We may issue a refund in circumstances not listed here where it is fair to do so. Doing so once does not oblige us to do so again.

7.0 How to request a refund#

7.1 Write to us from the email address registered on the account, stating the account name, the invoice number, and the reason.

7.2 We will acknowledge within two (2) business days and decide within seven (7) business days.

7.3 Where a refund is approved, it is paid to the original payment method only, and is normally credited within five (5) to ten (10) business days, depending on your bank.

7.4 Where a refund is declined, we will tell you why in writing.

7.5 A credit note is issued for every refund, and the corresponding GST adjustment is made in the period in which the credit note is raised.

8.0 Your data after cancellation#

8.1 You may export your data for thirty (30) days after cancellation.

8.2 After that window, data is deleted from live systems within a further thirty (30) days, and from backups in the ordinary rotation cycle.

8.3 We keep invoices and tax records for eight (8) years as Indian tax law requires, regardless of cancellation.

8.4 Deletion is confirmed in writing on request.

9.0 Disputes#

9.1 If you are unhappy with a refund decision, write to us and it will be reviewed by the Proprietor.

9.2 Unresolved disputes are handled under clause 16 of the Master Service Agreement — discussion first, then arbitration seated in Chennai.

9.3 Please contact us before raising a chargeback with your bank. A chargeback costs us a fee and is slower for you than a refund we can issue directly.

10.0 Contact#

Write to the billing address stated in your Order Form, or from your dashboard.
